HOW DO I GET INVOLVED?
As a PTSO, we work to benefit all Charlotte Lab staff and students. Our goal is to unite parents, teachers, and volunteers for the purpose of enriching the educational experience of all children at Charlotte Lab.
 
Whether you are a returning or new parent, guardian, grandparent, aunt, uncle, teacher, or staff member at Lab, anyone can join the PTSO! Anyone eager to make a difference at Lab and our community, come together to form the PTSO. The PTSO does not charge a membership fee, as we feel money should not be a barrier to feeling included. Benefits of joining the PTSO include:
 
  • Staying informed of school events and classroom activities.
  • Meeting other parents! Expanding your village is an essential component to surviving the early years.
  • A space to share your voice, your ideas and thoughts to enhance the experiences of Lab students and staff.
  • Lend a helping hand to those that work tirelessly to shape our children's futures.

PTSO Board:
  • President (Emma Milandou)
    • Serve as the leader of the overall PTSO
    • Key contact to all school leaders
    • Presides at General and Executive Board PTSO meetings
    • Ensure all efforts are being conducted in accordance to The Lab Way
    • Serve as an ex-officio member of all committees and make an effort to attend all events or send a delegate in his/her absence
    • Officer volunteer level: HIGH

  • Vice President (Staar Dukes)
    • Perform the duties of the president in his/her absence
    • Participate in General and Executive Board PTSO meetings, providing input for decisions
    • Be an ambassador for the PTSO and the school
    • When needed the PTSO Vice President will assist in monitoring and responding to the PTSO Email Account to backup and support the Secretary.

  • Secretary (Charlotte Barnes)
    • Coordinate weekly/bi-weekly PTSO News and other communication needs for the PTSO
    • Create and maintain an email distribution list of all PTSO Board & committee members
    • Secure room and/or set up calls for monthly PTSO Board meetings and sends out meeting reminders
    • Record minutes for all PTSO Board & General meetings.
    • Gathers and sends News Updates from other PTSO committees to school administration
    • Maintain and check the PTSO Email box
    • Maintain accurate information on website and calenda
    • Participates in all General and Executive Board PTSO meetings
    • Attend PTSO events

  • Treasurer (Sika Asamoah) & Co-Treasurer (OPEN)
    • Collect, deposit and maintain all funds of the PTSO.
    • Prepare and present the proposed annual PTSO budget.
    • Disburse funds in accordance with the approved PTSO budget as requested by other members.
    • Prepare and present a financial report of income of expenses at each meeting.
    • Prepare a Year End Financial Report showing the income and expenses for the fiscal year.
    • Ensures accurate tax filings.
    • Maintains accurate financial records and safe guards PTSO finances.
    • Assists the president with preparation of the new budget in the spring.
    • Participates in monthly PTSO Executive board meetings and all general PTSO membership meetings

Community Building + Fundraising Event Committee Chairs:
 
  • Fall Festival + Trunk or Treat Chairperson (OPEN)
    • A Charlotte Lab family favorite! This event combines our annual Trunk or Treat with our new Fall Festival for an evening of games, music, food, and festive fun for students of all ages.
    • The Chairperson leads the planning committee and collaborates with Lab staff and families to bring the event to life. Including organizing vendors, activities, decorations, and family participation.
    • Planning begins in late spring, with the bulk of coordination happening between August and October. The Chair should be available on event day from 12 PM to 8 PM to oversee setup, support volunteers, and ensure everything runs smoothly.
    • Chairperson volunteer level: MEDIUM
    • On Campus Hours: MODERATE (especially near the event date)
    • PTSO Meetings: Attend all general meetings (1 per quarter)
  • Field Day Chairperson (OPEN)
    • Help close out the school year with one of our most exciting traditions! Field Day is a full-day, school-wide event with outdoor games, activities, and school spirit.
    • The Chairperson leads the planning of logistics, station setup, class rotations, t-shirt orders, and supply coordination. You’ll work closely with the school team, PTSO, and volunteers to ensure the day runs smoothly and students have a blast.
    • Planning begins in early spring due to the event’s size and complexity. The Chair should be available the entire day of the event and during setup the day before.

    • PTSO Meetings: Attend all general meetings (1 per quarter)
  • Lower School Dance Chairperson (OPEN)
    • Help bring the magic to one of our students’ favorite nights of the year! This event is a fun, age-appropriate evening for K–4 students and their families.
    • The Chairperson will lead planning for the dance theme, venue coordination, décor, music (DJ/vendor selection), and budget tracking. You’ll also help manage ticket sales, donations, and volunteer assignments to make the event memorable and smooth.
    • Planning typically begins in late fall, with the bulk of work occurring January–February. The Chair should be available the day of the event to oversee setup and ensure everything runs smoothly.

    • PTSO Meetings: Attend all general meetings (1 per quarter)
  • Middle School Dance Chairperson (OPEN)
    • Help create a night to remember for our 5th–8th grade students! This role is perfect for someone who enjoys planning fun and age-appropriate social events.
    • The Chairperson leads the planning process—from selecting a theme and music to managing venue logistics, concessions, ticket sales, and chaperone coordination. You’ll also support décor, budget oversight, and setup/cleanup on event day.
    • Planning typically begins in winter, with key coordination happening February–March. The Chair should be available the day of the event to oversee operations and ensure students have a fun and safe experience.

    • PTSO Meetings: Attend all general meetings (1 per quarter)
  • Teacher Appreciation Week Chairperson (OPEN)
    • Celebrate the heart of our school — our amazing teachers and staff!
    • The Chairperson for this week-long event leads the planning and coordination of daily appreciation activities. This includes organizing meals or snacks, gift drop-offs, themed days, decorations, and any surprises we want to offer. The Chair also works with the PTSO to coordinate donations and family support to bring the week to life.
    • Planning begins in early spring, with most coordination taking place in April. You’ll need to be available during Teacher Appreciation Week (typically in May) to support daily activities and ensure everything runs smoothly.
    • Chairperson Volunteer Level: MEDIUM
    • On-Campus Hours: MODERATE (especially during appreciation week)
    • PTSO Meetings: Attend all general meetings (1 per quarter)
  • Prom Chairperson (OPEN)
    • Help make prom night a beautiful and memorable celebration for our upper school students!
    • The Chairperson works in collaboration with staff and student leaders to coordinate prom logistics, including venue setup, theme and décor, entertainment (DJ or music), refreshments, and ticket management. You’ll also help with vendor communication and any parent volunteer coordination needed.
    • Planning typically begins in late winter, with key tasks happening March through April. Availability on prom day is essential to support setup and ensure a smooth experience.

    • On-Campus Hours: LOW to MODERATE (some day-of support required)
    • PTSO Meetings: Attend all general meetings (1 per quarter)
  • Homecoming Chairperson (OPEN)
    • Help build school spirit and plan an unforgettable Homecoming experience!
    • The Chairperson leads coordination for both Homecoming Week activities and the Homecoming Dance. This includes organizing spirit days, pep rallies, game-day support, and overseeing dance logistics such as venue setup, music, décor, refreshments, and ticket sales. You’ll collaborate with staff, students, and the PTSO to make the week memorable for the entire school community.
    • Planning begins in early fall, with most coordination happening 3–4 weeks ahead of Homecoming Week. On-campus support is especially important the week of the event and day-of the dance.
    • Chairperson Volunteer Level: MEDIUM
    • On-Campus Hours: HIGH during Homecoming week (homecoming dance attendance required)
    • PTSO Meetings: Attend all general meetings (1 per quarter)
  • Parent's Night Out Chairperson (OPEN)
    • Create space for our Lab families to connect and unwind!
    • The Parent’s Night Out Chairperson helps plan our adult-focused evening where caregivers can gather, socialize, and build community. Responsibilities include selecting a venue, coordinating food or drink options, securing any vendors (music, activities, raffles, childcare, etc.), and managing communication and sign-ups. These event is all about fun and connection for our Lab adults (childcare sourcing is a bonus but not required for all PNO events)!
    • Our goal is to have one PNO per quarter. Planning begins 6–8 weeks ahead of the scheduled date. Most logistics can be handled remotely, with on-site support the evening of the event.

    • On-Campus Hours: LOW (mainly event day/evening)
    • PTSO Meetings: Attend all general meetings (1 per quarter)
  • Book Fair (Fall & Spring) Chairperson (OPEN)
    • Support our young readers and raise funds for the school!
    • The Book Fair Chairperson works with Scholastic to oversee both the Fall and Spring Scholastic Book Fairs.
    • Responsibilities include coordinating setup and breakdown, managing volunteer sign-ups, supporting teachers with wishlist setup, reminding families to load eWallets or send cash, and helping create a fun and inviting shopping experience for students and families.
    • This role involves coordination with school staff and Scholastic reps, along with 1–2 weeks of focused effort for each fair. On-campus presence is helpful during browsing and buying days and the after-school shopping night.
